How to Change the date format to remove the time entry

Date  values are stored in the database with complete Date and Time information.

The full information is sent to Word when the data is merged,

To get the date format you want, you need to add a formatting picture switch directly after the end quote around the field name add

Using the date 11/07/1965 Some examples of the switches and what the produce are below:

Note: you can swap the d, M, y expressions around, but you must

use uppercase 'M's for months.

How to apply the switch to the Document

Open the Document Library

Open the Document Library

1: Click Admin from the Menu.

2: Click Document Library from the drop down list - the Document Library will open.

1: Select the Document to Edit.

2: Click Edit from the Menu - the Edit Document window will open.

Open the Document in Microsoft Word

Open the Document in Microsoft Word

1: Click Edit Body of Document - Microsoft Word will open.

Toggle the Mail Merge Data

The letter will look something like this....

1: Items between "<< >>" are mail merge fields.

Toggle the fields with Alt+F9 - the mail merge codes will be revealed.

The Date of birth will currently be displayed as "dd/mm/yy hh:mm:ss"

Use one of the formatting picture switches above to change the field's format.

Type the string in the field as shown. This will show the date of birth as dd/mm/yyyy without the time.

Close Microsoft Word

Press Alt+F9 to toggle back the mail merge codes. (Not essential but will help you see the layout of the letter)

Press CTRL+S to save the changes.

Exit Microsoft Word.

Close the Edit Document window

Close the Edit Document window

Click OK to Save the details and Close the Edit Document window.
