Extended Tenant Search

In order to use this feature, the Replace Tenant Search with Tenancy Search (4) checkbox in the  Admin (1) > General Settings (2) > General tab (3) must be ticked. 

 

This changes the Search In field in the main Search screen from Tenants to Tenancies (5) and adds Search Contact Details (6) and Search Tenancy Details (7) fields. 

Also added is a checkbox “Include tenancies that are not current” (8) This is unchecked by default. 

      The Search Contact Details field allows the user to type in text to be matched against:

  • The tenant’s email address
  • Phone number
  • First and last name
  • The name of the tenancy (this is the Company Name field in the Tenancy window).

The Search Tenancy Details field allows the user to type in text to be matched against:

  • The name of the unit related to the tenancy
  • The name of the property related to the tenancy
  • The full address of the property related to the tenancy  
  • The name of the Company related to the tenancy

The search results will display the Unit Name, Tenant Name, and a Current flag (if above checkbox is checked) for each tenancy.

The user will be able to double-click the unit name to open the unit.

A tenancy will be considered current, if the Tenant is the current responsible Tenant on a current lease. (The Responsible for Payment box on the Tenancy tab).

If the tenant lease was deleted, the tenancy will not appear on the list at all.

Using this feature when creating a new invoice/payment

When creating a new Invoice/Payment you can search for Tenancy details by using their name, email, phone number, or information about the unit/property they are renting.
This is done by clicking the From (or To) (1) button in the Payment / Invoice window. Then select Tenants (2) and tick Search Tenancies (3) and enter the search details.
