Automatically Reverse Prepayments and Accruals

This feature allows the setting of a journal entry to be reversed at a later date.The purpose of this is so that if funds must be temporarily moved to another nominal and then back later, it can be done automatically, without the user having to remember to go back and do it.

On the journal entry window there is a tickbox "Reverse Journals" and place to enter a "Reverse Date". From the Journals tab of a Company click New then the below window appears.

  • If the tickbox is ticked, the Reverse Date needs to be filled out as well.
  • The Reverse Date must be after the Journal Date.

  • The Journal Date and Reverse Date can both be in the past ie. Before the current date.

  • Note: Journals cannot be edited, reversal dates can only be put on new entries. 

  • If the user selects a reverse date after the journal date, but then changes the journal date to be after the reversal date, the reversal date is cleared (ex: At first the Journal date 15/06, reverse date 16/6, if the user changes the Journal date to 16/6, the reverse date is no longer valid and should be cleared)

    A To do item will be created to generate the journal on the date specified.

  • Company: Company the journal was created for
  • Action Type: "Journal Reversal"
  • Details: "Reverse Journal on [Date] for [Amount]"
  • Amount: The sum of either the credits or the debits - either side will get the same total.

 

In the case that a user opens the original journal and selects "Reverse" from the menu, the To do that wasn't run yet will be deleted and the reverse date from the original journal will be cleared.

Running the To do will create a journal entry to reverse the original journal.

After the To do item is run, it will appear in the history.
