Number Formatting in a Merge Field

When performing a mail merge in Word, numbers do not automatically display with the correct formatting (currency, decimals, etc.).  This article demonstrates how to correct the number formatting.

Symbol Definitions

\# Begins the “switch” which tells the document to apply formatting to the number.

£ The character to display at the beginning of the number (in this case, a GBP sign).

, Indicates that you want commas to designate thousands.

# The number of number signs (#) typed after the comma indicate the number of digits that should be forced to display.

.00 Indicates that you want to include a decimal point to two places with each number. Anytime a number to be merged does not include decimals, it will display with zeros.

Formatting Prices

The Numeric Picture Switch enables you to format your numeric output with currency signs, commas, and decimals.

From your original source document (before completing the merge), right-click the field and select Toggle Field Codes or press F9.

The mergefield  will look something like (where PaymentTotalAmountOwing is your particular field name):

{ MERGEFIELD “PaymentTotalAmountOwing” }

Place your cursor before the closing bracket and type: \# £,#.00

Note: There is a space between the first # and the £.

The field should now look like:

{ MERGEFIELD “PaymentTotalAmountOwing” \# £#,##.00 } - The output will be, for example, £4,427.85

{ MERGEFIELD “PaymentTotalAmountOwing” \# £##.00 } - The output will be, for example, £427.85

Right-click the field name and select Toggle Field Codes to return to the original view or press F9. Your prices should now display appropriately.
