How to Print a Barcode on a letter and automatically attach it back to the Claim when Scanning
Printing a Barcode
Installing the Barcode font
1: You do not need a license to print a Bar code. You need to install a freeware font called IdAutomation39.
2: Download the font and save it somewhere where you can find it.
3: Once downloaded, extract the folder.
4: Right-click the font file and click install.
5: Open Word, the font should now be in the list of fonts in the Home tab.
Look up the ID of the Action that will be required to be Run or Scheduled after scanning the returned letter
When the Client and Claim has been identified and the document automatically attached, the system will run or schedule a required Action which is identified by its number. To obtain the number, do the following.
1: Click Admin.
2: Select Action Library from the drop down list - the Action Library will open.
3: Double click the required Action - the Edit Action window will open.
4: The required number is shown at the end of the Action title - make a note of it.
Using the Font to Create a Barcode
Open the document from the Document Library that you wish the Barcode to be in.
1: Click Admin.
2: Select Document Library from the drop down list.
3: Double click the required document - the Edit Document window will open.
Open the Document in Microsoft Word
1: Click Edit Body of Document - Microsoft Word will open.
Create the bar code where it is required
Please Note that this code needs to contain several elements in the right order for this system to work.
1: A leading "*" Asterisk
2: "/" a forward Slash
3: The Client Ref (<<ClientDetailsID>>)
4: "/" a forward Slash
5: The Claim Ref (<<ClaimDetailsID)>>) - This only required if the document is to be scanned to a claim and not just to the client.
6: "/" a forward Slash
7: The Action Type ID (This we have already looked up above)
8: An ending "*" Asterisk
The code will look something like this for attaching to a claim when complete */«ClientDetailsID»/«ClaimDetailsID»/1085* or like this for attaching to a client */«ClientDetailsID»//1085*
Construct the Barcode - We have found the best results if the barcode is no less than 12 point in size
Place the cursor where you would like the code to appear.
1: Type */
2: Click Insert Merge field
3: Select «ClientDetailsID» from the drop down list
4: Click Insert.
5: Click Close to close the Insert Field Box.

Type the next / and the repeat the step above to select a merge field but this time select «ClaimDetailsID».
Type the next / followed by the number taken from the Action window.
End the Barcode with a *

Select the full code and change the font to IDAutomationHC39M - It will look something like the picture above. (The bar code is not completed until the document is run as the system needs to get the required digits during mail merge.
Save the letter and close it.
Run the Mail Merge to complete the letter and print it
Open a Claim
1: Select the Document Library tab - the list of documents will open.
2: Select the letter from the Document Library.
3: Click Word Document - the letter will be created and Open in Microsoft Word.
Print the letter.

Scanning the returned letter
When the letter comes back signed from the Client, you will scan it back into the system. This time, the system will recognise the barcode, Attach the letter to the correct claim and Schedule or Run the required Actions.
We have found that the best results are when scanning is performed no less than 200dpi.
Put the document in the scanner and ensure that the scanner is switched on.
1: Click Scanning - the Scan window will open.
2: Select the correct scanner from the drop down list.
3: Click Scan - the document will scan.
Re-open the claim and note that the Document has been attached to the History.
Click the To Do tab and note that any Actions that were scheduled are now present.
If you set an Action to Run you will note that it was Run.
NOTE: This document will not appear in the To Do list to be assigned to a Claim as normal, as it has been auto-assigned using the Barcode.
